Grassroots Soccer Academy
Registration, Cancellation & Refund Policy

Effective Date: September 1, 2026

1. Overview
This policy applies to all Grassroots Soccer Academy (GSA) programs, camps, clinics, and events, including partnership events such as Huskies 3v3 Family Day, unless a specific event page states otherwise. By registering, participants and their parents/guardians agree to the terms below.

2. Cancellations by a Participant
Full Refund: Cancellations made at least 7 days before the event or first session date are eligible for a full refund.
No Refund, Transfer Available: Cancellations made within 7 days of the event or first session date are not eligible for a cash refund. Instead, GSA will transfer the registration to another eligible player, or apply the fee as credit toward a future GSA program.
No-Shows: Participants who do not attend without prior notice are not eligible for a refund or credit.

3. Cancellations or Changes by GSA
If GSA cancels an event or program for any reason (including low enrollment, facility issues, or safety concerns), registered participants will be offered a full refund or a transfer to a future GSA program, at the participant's choice.

4. Weather & Outdoor Events
Outdoor and turf-field events generally proceed rain or shine. In the event of severe weather (e.g., lightning, extreme cold, or unsafe field conditions) that requires GSA to shorten, postpone, or cancel an event, registered families will be notified as soon as possible by email, and refunds or credits will be handled per Section 3.

5. Injury or Medical Withdrawal
If a participant must withdraw due to injury or illness, GSA will consider prorated refunds or credit on a case-by-case basis. Requests should be submitted in writing as soon as possible.

6. How to Request a Refund or Transfer
Email mike@grassrootssoccer.ca with the participant's name, the event or program name, and the reason for the request. Refunds are processed to the original payment method within 5–10 business days of approval.

7. Partnership Events
For events run in partnership with another organization (e.g., Huskie Athletics), refund eligibility and processing may involve coordination between GSA and the partner organization. Any portion of a registration fee allocated to a partner organization will follow that organization's own refund terms where applicable.
